A team of volunteers (Vivian, Margie, Robin, Mary, Carol, Erik, Rachel, Kim, Yvonne, Thad & Teri) spent the afternoon of April 9 at SW Agency Insurance, learning the various techniques and processes involved in what we call ‘preservation’. The staff at SW Ag acted as our ‘guinea pigs’ for the training.
The theory behind this is to preserve your special photographs and important documents in a way that allows the owner to secure them in a safe or safety deposit box on a flash drive, so that when a disaster strikes, there are no worries about lost photos or documents.
The team was broken up into smaller teams that worked at various stations.
Intake team greeted clients, received their documents & photos, & completed the “Client Scanning Order Form.”
Next the Scanning team carefully scanned each item on a high speed or flat-bed scanner. If any documents were unusually sized or too large or in frames, the Photo Booth team, using a high quality camera, took pictures of the pictures.
The Preservation team then combined all the photos and documents into one flash drive. This is the item that the client will keep as their document & photo record for safekeeping.
The Return team verified the accuracy of the documents and called the client to return of all the items, the flash drive and a thank you from NDPR for allowing us to serve them.
At each point of the process we learned a lot. In the days ahead we will be working on making the process work more efficiently and tweaking the details so that our clients are served in the best way possible. Further training and training videos will be in the works before our next event.
